Yes! AspenTech will host one room for you and one guest. Please note that only one guest will be included in the hosted meals and activities. Guest must be 21+ years old.

If you know you want to extend your trip, please contact Kathryn immediately. If you need to cancel or make changes to your reservations, please contact the President’s Club event team at [email protected] at least 21 days prior to your reservation date.

Please note that you will be responsible for your own ground transportation to/from the hotel on nongroup travel days if you do extend your stay. Additionally, your extension plans may require some payment on your part due to increased airfare. Travel consultants will advise you of the best options to minimize your expenses for the extensions.

  • The group room rates will be extended three (3) nights prior to and three (3) after program dates October 4 – 8, 2024 based on availability at the time of reservation.
  • The group room rate is $590.00 USD per night plus 13% tax and a 10% service charge (taxed at 13%).  
  • Any cancellations for an extended stay within 30 days of check in will be assessed as a cancellation charge of all reserved pre and post night plus tax which will be charged to the individual guest’s credit card. There will be no cancellation charge for any cancellations prior to this time.
 

The process for booking travel begins by filling out the Travel Information section within the registration form under the “Register” tab. Once your registration is submitted, the travel information will be sent to the event travel staff. An itinerary will be created combining your preferences and certain event guidelines (e.g., economy travel, official program dates) and sent to you via email. You will have 48 hours to confirm the itinerary by responding to the event travel staff. If you wish to make travel plans that deviate from the official program dates, please discuss this with the event travel staff, as additional costs incurred will be your responsibility. A detailed itinerary will be sent to you upon completion of your registration. Contact the President’s Club event team with any questions or changes to your air itinerary.

During the official dates of the event, expenses associated with airfare, ground transportation to and from the airport on group travel days, four nights overnight accommodations, and group sponsored meals and activities will be covered by the program. All hotel incidental charges exceeding $450 for spa or golf and $200 for resort food and beverage will be at your own expense.

We’ve got it covered! All tips and gratuities for airport and hotel porterage, housekeeping and sponsored activities are included for both you and your guest. Gratuities for additional activities or services outside of the program are at your own expense.

Example: If you upgrade your services with add-ons or extended time at the spa, additional fees/gratuities above and beyond the allowable room credit are your expense.

The hosted activities will be assigned on a first-come, first-served basis. Because there is limited space in many of the hosted activities, we recommend that you register immediately when registration opens to get your first choice.

Please note any dietary requirements when you register.

You will be able to make changes, based on availability, at any time while registration is open. After registration closes, you will be responsible for any additional costs/penalties incurred due to changing your airline schedule, extending your hotel stay or changing your choice of leisure activity.

Average daytime temperatures are 27 ºC (80 ºF) and lows in the evenings around 20-24 ºC (68-76 ºF).

Be sure to pack your bathing suit, comfortable shoes for walking, a light rain jacket or sweater for evenings and as well as any formal/cocktail attire (suit for men, cocktail dress or pantsuit for women) for the awards celebration dinner.  Remember to pack sunscreen, sunglasses and bug spray.

In general, resort casual clothing is perfect for your stay in Costa Rica:

  • For men: Slacks/trousers, khaki pants, jeans, polo shirts, collared shirts, sneakers, sandals 
  • For women: Slacks, jeans, skirts, blouses, casual dress, sneakers, sandals 
  • Note: T-shirts, torn jeans, non-dress shorts and flip-flops are not considered proper attire

Internet usage is complimentary throughout the hotel.
